Terms and Conditions

Welcome to Hotel Vienna, our hotel in Windham, NY! Before you make your reservation, please take a moment to review our deposit policy, cancellation guidelines, check-in/check-out times, and other important information. We want to ensure your stay with us is pleasant and hassle-free. For any questions or concerns, feel free to contact us. We look forward to hosting you!

Deposit

For stays of any length, a deposit of 50% of the total charges is due at the time of booking. Payment can be made via Visa, MasterCard, American Express, Diners Club, or Discover. We will send confirmation of your reservation upon receipt of your deposit.

Cancellations + No Shows

For any reservation cancellation, we must receive 7 days’ notice prior to your confirmed arrival in order to receive your deposit back and avoid the cancellation fee for the entire stay room and tax. If any cancellation is made within 7 days of your stay, regardless of the reason, your deposit will be non-refundable and the remaining balance of your stay will be charged to the card on file (though you are always welcome to send a friend or family member in your place). All no-shows will be charged in full for the entire stay room and tax.

Any change-of-dates request (including shortening a reservation) or name change request must be made 7 days prior to your confirmed arrival and is subject to availability and minimum stay restrictions. Within 7 days of arrival, deposits are non-refundable and no changes can be made to the reservation unless requested which will be subject to manager review.  After check-in, a shortened stay will remain charged in full per the original reservation.

For group room blocks of four rooms or more, please refer to the group contract for the applicable cancellation policy.

Rates

Rates as shown or quoted over the phone are based on per-night double occupancy and are subject to the applicable state and/or local lodging tax of 8% (subject to change). Availability and rates for specific dates can be viewed by clicking on the “Book Now” button.

Check-in / Check-out Times

Check-in for all hotel rooms is between 2:00 PM and 10:00 PM, check in for the Cabin is 4PM. Early and late check-ins can occasionally be accommodated with advanced notice and at times for a nominal fee. Checkout time is 11:00 AM. If you arrive early before your room is ready, we are happy to hold your luggage while you wait. Departing guests are welcome to hang out in our common area, on mountain decks, and on our grounds.

Additional Persons

All rooms with a single King bed are priced at—and can not exceed—2-person occupancy (children and infants included). Rooms with two (2) Queen beds are priced for 2-person occupancy but can accommodate triple occupancy or quad occupancy for an additional fee per person.  Children 5 and under and infants do qualify as guests and stay for free.

Pets & Service Animals

We are happy to allow up to two 70-lb (or less) canine companions in our pet-friendly rooms. Pet fees include a $55 per dog, per night rate increase ($80 per dog per night at the Home). Please call the property directly to inquire about booking a pet-friendly room. Please note that all dogs need to be accompanied by their owner(s) in a safe and controlled manner when in public on the property.

Please be aware that pets must be respectful guests as well and should never be left in a guest room alone especially if the pet owner leaves the hotel. If the pet owner leaves their pet alone in the room and subsequently leaves the property and the pet causes any noise or other disturbance to other hotel guests or staff while alone in the room we reserve the right to charge a $200-$2,000 noise disturbance fee. Pets are permitted only in the exterior common areas, and they must always stay on a leash while on property. While we love our pets, not all of our guests feel the same way. For this reason, dogs are never permitted in interior public spaces. Any situations of safety concerns related to the canine will be addressed by management to protect the safety and comfort of all of our guests. We reserve the right to approve any pet for the safety and wellbeing of all of our guests and staff.

As a condition of reserving a room at our hotel, you agree to pay up to $3,000 fee if any pets are found in rooms not designated as pet-friendly or if your animal causes stains or damage to a guest room, further damages may be accessed.

Non-Smoking

Hotel Vienna is 100% smoke, vape, and flame-free. A $250 cleaning surcharge will be imposed on any room where guests have burned candles, smoked (including e-cigarettes), or vaped in their room or anywhere on the property.

Guest Responsibility

At least 1 guest in each room must be at least 21 years of age.  No guests under 21 will be able to stay at Hotel Vienna without adult supervision and accompaniment in the room. The King room to two-bedded connection rooms is the only exception for this.

While accidents do happen, guests will be financially responsible for damage due to gross negligence.
